Your Opportunity:

Working under the Director, Academic Human Resource Services, the Assistant Director, Academic Human Resource Services is responsible for coordinating and supporting the academic human resources work of the Faculty of Arts & Science. The incumbent is responsible for ensuring the timely, complete, and accurate processing, approval, and reporting of all Academic HR materials. They will be required to support the timely and informative communications to the University community on Academic HR matters. The incumbent is responsible for having an in-depth understanding of all relevant policies and for functioning as the key liaison for senior academic administrators and their staff on matters relating to academic human resources. This position will provide strategic advice related to policy matters and specific issues that require a knowledge of confidential information about Faculty staffing, priorities, and new academic directions. The Assistant Director is responsible for providing advice and information required to support the Director in making informed decisions relative to specific Academic HR matters.


The incumbent is responsible for:

  • Coordinates the work of the Office relative to all Academic HR matters (including recruitment plans, advertising, appointments, tenure, continuing status, promotion, leave requests, PTR and merit process, salary administration, endowed Chairs and professorships, retirement, emeritus/emerita status, decanal assessors etc) including providing guidance and advice concerning policy and best practice to the Faculty of Arts & Science.
  • Reviews complex or sensitive files which require particular sensitivity and awareness of confidential faculty issues and provides options for resolutions
  • Works collaboratively with central offices to provide information and analysis critical to informed decision-making.
  • Serves as key liaison for academic administrators and their staff on matters relating to academic human resources, providing strategic advice relative to policy matters and specific issues that require a knowledge of confidential information about Faculty staffing, priorities, and new academic directions.
  • Work collaboratively and consultatively with clients and central offices to ensure the effective operation of business processes relative to Academic HR matters.
  • Works collaboratively with others in the Faculty of Arts & Science and the Office of the Vice-Provost, Faculty & Academic Life to develop and deliver programs to faculty and Academic administrators relative to complex Academic HR matters.


Essential Qualifications:


Experience:

  • Graduate degree or an acceptable equivalent combination of education and relevant experience.
  • Minimum eight (8) years’ recent and related experience in a university environment.
  • Thorough knowledge of University policies and procedures.
  • Demonstrated achievement in managing complex workflow and being accountable for timelines.
  • Clear evidence of success in providing advice on how to respond to / manage cases that diverge from the norm.
  • Experience in working with University/Faculty leadership in providing counsel and advice.
  • Deep familiarity with academic HR life cycle, tenure process, and University academic HR norms.
  • Experience leading a team and having supervisory responsibilities.

  • Good discretion, political acumen, and strong judgement skills.
  • Excellent writing, communication, and presentation skills.
  • Highly professional, with demonstrated ability to manage sensitive matters with all levels of University faculty and administration.
  • Exceptional leadership and interpersonal skills, with ability to engage, secure support, commitment, and results from others.
  • Excellent working knowledge of Microsoft Word and Excel, and the University’s AMS or comparable system.
